All User Bulletin - Daylight Savings Time and Scheduled Outages (November 2, 2025)

Daylight Savings Time - Fall Back

On Sunday morning, November 2, 2025, clocks turn back one hour at 02:00 to become 01:00, when Daylight Savings Time (DST) ends. 

While the Connect Care clinical information system as a whole will not be taking an outage, due to the unique challenges falling back poses with repeated time intervals, a safe approach to the end of DST is to schedule a downtime for specific applications.

The following applications will have an outage, each with its own time and length:

  • Transfusion (WellSky Transfusion Medicine System): Sunday, November 2, 2025, from 01:58 MDT to 02:07 MST (approximately 70-minute duration). During this outage, please limit non-essential transfusion activity in Epic and follow the Blood Product Administration Downtime Procedures as needed.
  • Bridges Device Interfaces: Sunday, November 2, 2025, from 01:50 MDT to 02:10 MST (80-minute duration). Data that flows from medical devices into the patient chart in Connect Care will be impacted (impacted medical devices include but are not limited to: patient monitors, hemodialysis machines, dialysis machines, Continuous Renal Replacement Therapy [CRRT] devices, fetal monitors, ventilators/anesthesia machines, perfusion machines). Recent Changes to Connect Care File Access

A recent update has changed how Insite files can be accessed from within Connect Care. 

If a user is in Connect Care Hyperspace and clicks a link to a resource or file that is housed on Insite, they are now prompted to sign in with their work credentials through a Microsoft sign-in page. Users are still able to access needed files by entering their organization’s credentials (e.g., AHS, provincial health agency [PHA] or provincial health corporation [PHC] credentials).

This change was caused by the recent migration of Insite files to SharePoint Online. As part of AHS’ Microsoft Technologies Program, all file storage was required to migrate to SharePoint Online and other Microsoft cloud storage to ensure integration and usability by all AHS, PHA, and PHC users.

Connect Care login credentials do not flow through to SharePoint Online (or other Microsoft apps), which is why users are now prompted with the Microsoft Sign-In page when opening an Insite file from within Connect Care. These two systems are not currently integrated and until a solution is identified, users will continue to be required to complete the additional login.

We recognize this change has caused frustration and that an additional login takes time when staff are already busy. Addressing this issue is a high priority and we are exploring every avenue to see if there is a way to remove the need for the additional login. We will share additional information as it becomes available.

New Report Types Available Online for Patients through My Personal Records

As per the Government of Alberta, starting November 3, 2025, Albertans can access operative, procedure, and investigation reports through My Personal Records (MPR) in MyHealth Records (MHR), the provincial personal health record tool. The initial release includes one year of historical data, with additional history to follow in the coming months. Privacy controls, such as opt-in toggles and confirmation pop-ups, are available specifically for these new reports. MPR users who previously shared procedures information with another person will need to reauthorize access once the new data becomes available. 

To support Albertans, more information is available on MyHealth.Alberta.ca, or they can contact 1-844-401-4016 or email myhealthrecords@gov.ab.ca for support. Providers continue to have access to this information through their regular channels, including Alberta Netcare.

Calculators Moving to Web-based Versions

As previously posted, most physicians, staff, and volunteers at AHS and affiliate organizations are or have already switched to using Microsoft 365 (M365) web apps, and these web apps function differently in some ways than the desktop versions. Up to now, many clinical calculators commonly used in Connect Care workflows run Excel macros that are based on desktop Excel files. Unfortunately, these calculators do not work when opened in the web app version of Excel. 

Starting October 14, 2025, the calculators listed below - used for weight-based medication dosing, fluid calculations, and titration protocols for pediatric patients (under 18 years old) - will transition to web-accessible versions, to ensure compatibility across devices. Users will no longer need to download or store local copies, and should delete any locally saved copies of the old versions. Prescribers can access the web-based calculators via the sidebar (details below).

How to Access
  • Prescribers can access the new web-based versions of the above calculators by navigating to the Sidebar Summary, clicking on "Scores" (top of sidebar, middle of right column), and selecting the applicable calculator (click the camera icon below for a screenshot). Note the above listed calculators are all pediatric and will only show for patients under the age of 18.
  • The calculator will open in a private browser window, where details can be entered to complete the calculation (example screenshot below)
  • If required, print by pressing Ctrl + P after the calculation is complete. 
  • Note: Nurses/Respiratory Therapists/Unit Clerks can access the calculators via their Universal or ED Learning Home Dashboard (under “Patient Care Resources”).

Having Trouble with an Excel Calculator?

If you use an Excel-based calculator that no longer works after the switch to M365 and/or does not have a web-based version available, we need your help to ensure continued access. This may be an issue particularly with shared "thin client" workstations that only run Connect Care and not other desktop applications.

If your calculator is missing or not functioning, submit a request using this Insite form. Include the following in your request: 
  • An unlocked version of the Excel calculator file
  • Where it was previously accessed
  • A brief description of its clinical use case
Once your request is submitted, your calculator will be converted into a supported web-based version, reviewed for accuracy and clinical relevance, and linked from Connect Care.

Updates to COVID-19 Vaccine Order Set [Updated]

To reflect current formulations of the COVID-19 vaccine, the COVID-19 Vaccine Order Set will be updated effective October 2, 2025. Revisions include:

  • Updated COVID-19 vaccine order items to reflect current products available.
  • Order set restrictions so prescribers will only see appropriate orders based on the patient’s age:
    • Adult (18 years and older)
    • Pediatric (Age 12–17 years)
    • Pediatric (Age 6 months–11 years)
